At the end of this article your retail shelf will be in getbarberpos: each product with a price, barcode, supplier, current stock and a low-stock alert. Barbers can scan items at the POS, stock goes down with every sale, and your online store will list the products automatically.
Before you start
- Services are added. See Add services with durations and prices.
- A count of what is on the shelf today.
- Your cost price and selling price for each product.
- Supplier names and phone numbers.
- Optional: a barcode scanner and a label printer. See Connect a receipt printer, cash drawer and scanner.
- If you have a lot of products, consider a CSV import instead. See Import clients and products.
Steps
- Add brands and units. Go to Products → Brands and add the brands you carry. Check Products → Units: “Piece” works for most retail.
- Add suppliers. Go to Contacts → Suppliers → Add. Enter each supplier’s name and phone. You will use them for purchase orders.
- Add a product. Go to Products → Add product. Enter the name (for example “Matte pomade 100g”), brand, category (Retail) and unit.
- Set the barcode. Click into the SKU field and scan the barcode on the pack. If there is none, leave it blank and getbarberpos makes one.
- Turn on stock. Tick Manage stock and set an Alert quantity, for example the number you sell in a normal week.
- Enter prices. Type the purchase (cost) price and the selling price, and pick the tax rate for retail goods. The margin shows as you type.
- Add sizes as variations. For products that come in sizes or scents, choose Variable and add each variation with its own price and SKU.
- Add a photo. Upload a clear photo. It shows in the POS and in your online store.
- Enter opening stock. Save, then choose Add opening stock and type today’s shelf count for your location.
- Print labels. Go to Products → Print labels, pick products and quantities, and print on your label printer.
- Reorder later. When stock runs low, go to Purchases → Add purchase, pick the supplier and products, and receive the stock when it arrives.
A quick weekly habit
Once a week, open Reports → Stock report and sort by quantity. Anything at or below its alert level goes on the next purchase order. Do a full shelf count once a month and fix gaps with Stock adjustment, picking a reason such as damaged or used in the chair.
Common mistakes
- Skipping opening stock. The POS shows zero and blocks the sale, or your counts go negative.
- Entering cost price with tax by mistake. Margins in reports will look wrong. Be consistent.
- Same barcode on two products. The scanner rings up the wrong item. Each variation needs its own code.
- No alert quantity. You find out a best-seller is gone when a client asks for it.
- Adding stock by editing the number. Use purchases or stock adjustments so you keep a record of where stock came from.
