#½ Client cards · the cut, written down
Barber client management that remembers every cut
getbarberpos handles barber client management with a card for every client. It keeps their visit history, cut notes like guard numbers, fade height and beard shape, before-and-after photos, their preferred barber, reward points and birthday. Any barber in the shop can pick up where the last one left off.

What happens when the client's usual barber is off?
A regular sits down and says 'same as last time.' If their barber is off today, nobody knows what last time was. Was it a mid fade with a #2 on top or a low taper with a #3? Was the beard lined up or left natural? Guessing wrong loses a regular.
Even their own barber forgets. Two hundred clients each with their own guard numbers and part line is too much to carry in your head, especially for clients who only come in every six weeks.
And the money side: who are your best regulars, who hasn't been in for three months, whose birthday is next week? That's the stuff that brings people back, and it's lost if all you have is a phone's contact list.

How does a client card get built up visit by visit?
A name and phone number from booking, walk-in check-in or checkout is enough. Import your existing client list by CSV if you have one.
After the cut, the barber adds a quick note: guard numbers, fade height, part side, beard shape, products used. Short is fine.
Take a front, side or back photo on the station tablet or phone and attach it to the visit.
Mark who usually cuts them. Booking and the walk-in queue suggest that barber first.
Reward points add up on every sale, and the birthday is saved so you can send a message through your messaging provider.

Client cards: questions owners ask
Q01What should a barber write in cut notes?
Whatever they'd need to repeat the cut: guard numbers on sides and top, fade type and height, part side, neckline shape, beard length and products used. Two lines is enough.
Q02Can I attach photos to a client's card?
Yes. Add photos from the station tablet or a phone to any visit. Ask the client first, and delete photos they don't want kept.
Q03Can a booth renter keep their client list private from the shop?
Yes. Client cards can be limited to the barber who owns them. The shop owner sees rent, not the renter's client book, unless the renter shares it.
Q04How do reward points work?
Clients earn points on what they spend, at a rate you set, and redeem them as money off at checkout. You choose whether points apply to services, products or both.
Q05Can I find clients who haven't been in for a while?
Yes. Filter clients by last visit date to find regulars who've gone quiet, then reach out through your messaging provider.
Q06Can I import my client list from my old booking app?
Yes. Export clients to CSV from the old app and import them. Names, phone numbers, emails and birthdays come across; visit history depends on what the old app exports.
Q07Does the client card show the preferred barber when they book?
Yes. When a client with a preferred barber books online or checks in for a walk-in, that barber is suggested first.
Q08Can a client ask for their data to be deleted?
Yes. You can delete a client card and its history, and our data request page explains how clients can ask us directly.
