At the end of this article each chair renter in your shop will have a rent line in getbarberpos with an amount, a cycle (weekly or monthly), a due day and a status. When they pay, you record it in seconds and hand them a receipt. When a due day passes, the ledger marks them late, so you stop tracking rent in a notebook or a group chat. This is general information on using the software. How you classify renters for tax is a question for your accountant.
Before you start
- Each renter is added as staff with a Booth renter role. See Add chairs and barbers.
- The chair each renter uses.
- Each renter’s agreed rent, cycle and due day, ideally from a signed agreement.
- How they pay you: cash, bank transfer, card through your processor or a custom method.
- Rent in big US metros is often quoted in a range around 150 to 400 USD a week in trade guides, but use the figure in your own agreement.
Steps
- Turn on booth rent. Go to Settings → Business settings → Modules and make sure booth rent is on. Save and refresh. Booth rent appears in the left sidebar.
- Open the ledger. Go to Booth rent → Renters. It is empty to start.
- Add a renter. Click Add renter. Pick the staff member and the chair.
- Set the amount. Type the rent per cycle. In the UAE, check with your accountant whether VAT applies to the rent and pick the tax rate if it does.
- Set the cycle and due day. Choose weekly or monthly. For weekly, pick the day it is due (for example Monday). For monthly, pick the date (for example the 1st).
- Set a grace period. Choose how many days after the due day a renter can pay before the line turns late. Zero means late the day after.
- Set the start date. Pick the first cycle. The ledger builds the schedule from here.
- Record a payment. When a renter pays, open their line and click Record payment. Enter the amount, method and date. Link it to the right payment account so cash counts stay right.
- Print or send the receipt. Print it at the till or send it by email or WhatsApp through your messaging provider.
- Check the ledger weekly. The ledger shows paid, due and late for every renter. Filter by late to see who owes what.
- See it in reports. Go to Reports and open the booth rent report for totals per renter and per period.
See the booth rent tracking feature page, or read booth rental shops for how shops run mixed floors.
Common mistakes
- Recording rent as a service sale. It inflates service sales and pays commission on rent. Use the ledger.
- No grace period when your agreement has one. Renters get marked late on day one and argue with the ledger.
- Editing the amount instead of logging a change. If rent goes up, set the new amount from a new start date so past cycles stay correct.
- Cash rent not linked to the cash account. The drawer will be over at the end of the day.
- No signed agreement. The ledger tracks what you enter; the agreement is what you rely on in a dispute.
